The Role
The Event Planning Executive – Groups will be required to ensure revenue is maximized through the professional and efficient organization of all group reservations.They will conduct their duties in a courteous, safe, and efficient manner, in accordance with the hotel’s policies and procedures, ensuring that a high level of service is maintained.
Responsibilities include
- Liaising closely with all the relevant Sales, Event Planning, Centralized Reservations, and Front Office members on a daily basis to accurately manage the group blocks and report all information in a timely manner
- Handling and processing group reservations, telephone and email inquiries
- Updating folios of new guests, ensuring that all details are precise and correct. As well as maintain Guest History, update and ensure the latest information is retained in the record
- Ensuring group bookings are entered into Reserve following correct procedures
- Attending the daily sales and operation meetings
- Ensuring all group-related documents and correspondence are up to date
- Ensure correct routing and billing are set up for all accounts
- Assisting with site inspections and functions when needed
- Tracing and following up on all cut-off dates, rooming lists, deposits, and another client/guest requirements. Ensuring payment and clearance paperwork of deposit monies
- Completing monthly commission report
- Preparing and Leading Group meetings on a weekly basis
- Ensuring 100% compliance with all local Legislation
- Working as and where directed by Management plus following all reasonable request
To be Successful
- A minimum of 2 years of experience in a similar role within the hotel or events industry is essential
- Good knowledge of Opera and Reserve
- Strong communication skills and proven ability to solve problems independently
- Effective time management skills
- Ability to multitask and prioritize responsibilities
- Can build solid relationships with existing and new clients
- A willingness to learn and desire to challenge yourself
- Ability to work some weekends and evenings
