What will your role be?
We are looking for a career paralegal, law clerk, or legal secretary who has an eye for detail and is looking to further their career in a multinational company. Reporting directly to the Asia Legal Shared Service Center (ALSSC) manager (based in Tokyo, Japan) and working on legal work within the Asia Pacific (with a focus on matters in ANZ and ASEAN).
Your day-to-day will involve responding to legal queries from the business, managing legal documents, and document control, assisting with broad requests from our French headquarters, and managing corporate governance matters.
A broad summary of some of the work includes:
- Reviewing and generating standard contracts
- Amending standard contracts
- Verifying final documents for signing
- Tracking and monitoring contract status and updating status in the document management system
- Handling legal process issues and requests initiated by all functions
- Managing corporate governance matters in Asia Pacific South (AP South) including:
- Instructing and liaising with the external company secretary on corporate requirements (e.g. change of address, directors, public officers)
- Understanding the guidance/instructions issued by legal counsel and/or the company secretary and carrying out/implementing such guidance/instructions
- Managing the preparation, issuance, circulation, and filing of relevant corporate documents
- Working with finance on timely filing of audited accounts and the conduct of AGMs
- Record keeping
- All other legal matters may be directed by the ALSSC manager and legal counsel
The Challenges Ahead
- You will be required to familiarise yourself with our standard contractual legal documents and policies, and be able to, with the assistance of legal counsel, guide internal stakeholders within AP South to ensure compliance with our processes
- Although the majority of the work will be AP South related, you will also work with other members of ALSSC and other legal counsel across the broader Asia Pacific region. You will also have the opportunity to work on global legal projects initiated by HQ legal (based in France) from time to time
- ALSSC consists of paralegals across the Asia Pacific including Japan, Korea, Singapore, and China. Each member of ALSSC operates to support the broader work of the region, covering the workload of others as the need arises
Your Key Success Factors
- Bachelor Degree
- At least 5 years experience in contract/document management and/or corporate secretary administrative work
- Previous work experience in the software / ICT industry (desirable but not necessary)
- Excellent English both oral and written. (Mandarin, Korean, Bahasa Indonesia, Vietnamese, or Japanese skill is a plus)
- Motivated and quick learner with the right attitude (open and adaptive)
- Meticulous, process driven, independent, resourceful, and able to work with minimum supervision, focused and able to manage multiple tasks, move with urgency, and capable of working under pressure
- Able to learn to navigate new software systems/platforms
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
