What can I expect to do in this role?

In the Administrative Assistant role, you will:

  • provide program, administrative and financial support to the unit
  • compose routine correspondence
  • manage calendars and provide scheduling support, as needed
  • organize and coordinate stakeholder meetings and events
  • coordinate the reporting, tracking, and monitoring of projects and requests
  • provide advice and guidance to unit staff on administrative standards, procedures, and protocols
  • maintain manual and electronic filing systems
  • coordinate the purchasing of supplies and services

How do I qualify?

Administrative and Financial Skills

  • You have excellent administrative and financial skills including knowledge of related processes, standards, and best practices.
  • You have knowledge of and experience working with office procedures, practices, and guidelines.
  • You have experience assisting with financial budgeting processes, reconciling expenses, completing calculations, and preparing reports.
  • You have experience maintaining electronic and manual filing systems.
  • You have experience determining the nature, urgency, and appropriate action required when providing administrative services.

Organizational Skills

  • You have time management and organizational skills to provide administrative support and assistance to staff and senior management, respond to urgent demands for assistance, and track priorities.
  • You have the ability to arrange meetings and events and make travel and accommodation arrangements.
  • You can prioritize work and keep management informed of work progress and administrative issues in a timely manner.
  • You can work independently, as well as operate effectively as a member of a team.

Communication, Interpersonal and Computer Skills

  • You have strong communication skills to gather and share information and respond to inquiries.
  • You can exercise good judgment when interacting with other governments and stakeholders, and can appropriately manage sensitive information.
  • You are proficient with computers and all aspects of desktop software such as word processing, databases, email, internet, spreadsheet preparation, and creating presentations.
  • You are proficient in using computerized financial systems such as Integrated Financial Information Systems (IFIS).
  • You have experience using standard office equipment (e.g. printers, photocopiers, fax machines) to troubleshoot routine issues.
